A/An and The

When to use a/an for new information and the for specific or known things

First Mention vs. Second Mention

When you mention something for the first time, use a/an. The listener or reader does not know which one you mean yet. When you mention the same thing again, use the — now both of you know what you are talking about.

  • I had a meeting and an interview today. The meeting went well, but the interview was difficult.
  • We visited a supplier last week. The supplier offered us a better deal.

This pattern shows up constantly in business writing:

  • She sent a proposal to the client. The proposal included three options.
  • There was a printer and a scanner in the office. The printer was out of paper, but the scanner worked fine.

A/An = Not Specific, The = Specific

Use a/an when you are not talking about one particular thing. Use the when you mean a specific one.

The = It Is Clear Which One

Use the when the context makes it obvious which thing you mean. You do not need to have mentioned it before — the situation itself tells you.

In an office, everyone knows what you mean by the printer, the meeting room, the coffee machine:

  • Can you turn off the projector, please? (= the one in this room)
  • I left my badge at the front desk. (= the front desk of this building)
  • I need to speak to the manager. (= the manager of this department or shop)

Common Places with “the”

We often say the bank, the post office, the doctor, the dentist when we mean the one we usually go to:

  • I have to go to the bank before lunch.
  • Sarah isn’t in today. She’s gone to the doctor.

Compare the (specific place or role) with a/an (general):

A/An in Rates and Frequencies

Use a/an to express rates, prices, and frequencies — meaning “each” or “per”:

  • We have team meetings once a week.
  • The temp agency charges €25 an hour.
  • She travels abroad about three times a year.
  • He works eight hours a day, five days a week.
